I would have already sent a letter before action to the buyer by recorded delivery. You can spend hours arguing the toss with the performance team - assuming you get an answer and the escalation team don’t seem to have sufficient capacity to sort the many silly decisions out. Personally I wouldn’t mess around with a claim like this.
